The Administrative Security Manager will be responsible for the daily administrative tasks that include, but are not limited the oversite and coordination of scheduling, payroll, billing, HR compliance & direct liaison with Corporate HR, generating and tracking analytical reports and overall office management. In addition, The Administrative Security Manager will also fill in and provide coverage as a Shift Manager. During which, the ASM will act in full capacity as a Shift Manager with duties that include, but are not limited to the direct supervision, training, and evaluation of the security personnel’s performance. The ability to take an initiative on making recommendations where applicable. responsible for ensuring that all respective post orders and relative site protocols are being properly maintained, updated, and relayed to the security officers.

Duties/Responsibilities:

The primary Duties and Responsibilities are outlined below. Though the primary work location and area of responsibility will be in the mid-town Manhattan location, the ASM may be required to assist in the same functions for our client at other locations within NYC.

Administrative

  • Ensure compliance with all licensing and training requirements for the Silverseal Staff.
  • Complete, review and submit daily, weekly, and monthly reports as required by Company and the Client.
  • Manage staffing rosters, shift coverage, badge access control items and equipment inventory.
  • Weekly validation of Time & Attendance records to ensure accuracy of data.
  • Assist in having employee work schedules, payroll and invoicing completed in a timely manner by:
    • Reconciling TeamTime data and/or time sheets with the WinTeam schedules on daily basis.
    • Update, track and coordinate approved sick and vacation days for employees.
    • Conduct schedule of works (SOW) verification and/or provide variance explanation daily.
    • Correctly identify all billable/non billable items daily.
    • Submit 100% accurate data to Corporate HQ to facilitate payroll and invoicing.
    • Track and control overtime.
    • Ensure absent tracker is updated with all employee attendance issues (call out, NCNS, lateness).
    • Track, manage and report the scheduling and billing of Special Events.
  • Responsible for tracking, filing, and reporting HR issues, in accordance with company policy and under the direction of the Corporate HR Department.
  • Deliver eHub training to Silverseal employees and its customers.
  • Ensure the WinTeam master schedule is accurate and populated in advance.
  • Reset and distribute eHub login information.
  • Ensure all employees details and information are correct and up to date.
  • Act as Point of Contact for Corporate HR regarding employee data changes and updates.
  • Act as first line point of contact for employee complaints as they pertain to payroll and employee entitlements.
  • Provide Shift Manager coverage for vacation relief or emergency call outs.

Operational

  • Provide Shift Manager coverage for vacation relief or emergency call outs.
  • Responsible for conducting on-the-job training of the security officers which includes, but is not limited to, post order reviews, routine responsibility changes, emergency situational responses, and specific client needs as applicable.
  • Responsible for the oversight of the respective shift’s activity as well of its assigned security personnel.
  • Conduct briefings at the start of each shift to inform security personnel of pertinent information regarding site security activity and matters.
  • Responsible for the scheduling of personnel to cover the respective work shifts as well as of possible special event assignment coverage at our client offices.
  • Responsible for leading and/or assisting with situational investigations and/or the reporting of dangerous or otherwise unusual and suspicious activities and circumstances.
  • Responsible for responding to and deciding on what actions should be taken, based on the respective situation, its known facts, and position limitations.

Required Skills/Abilities:

  • Be knowledgeable and well versed on security procedures and practices.
  • Demonstrate skilled verbal and written communications, be proficient in situational observations and display sound decision-making skills.
  • Effective decision-making skills.
  • Exceptional leadership skills.
  • Extensive experience in customer service.
  • Experience with Microsoft Word, Excel, Power Point and Outlook.
  • Experience with creating and administering Security Officer’s schedules.
  • Experience analyzing statistical data for use in managing the contract.
  • Experience using WinTeam (a plus and preferred).

Education and Experience:

  • Bachelor’s Degree or higher

A minimum of two (2) years of Supervisory/ Management and prior law enforcement experience.
